What a scalable workpaper solution looks like

At Cimplico Workpapers, scalability is something we care a lot about. We work with a lot of ambitious firms — firms that want to grow their client base, their fees, their teams, and their offices. So it’s worth talking through what scalability actually means for accounting workpapers, and how to build for it.

Let’s start with a definition. For workpapers, scalability comes down to one thing: adding people, clients, and volume without adding a matching amount of friction. The more a firm grows, the more the mechanics of the work can start to slow it down — unless the workpapers are built to absorb that growth. That’s what a scalable set-up does. It keeps the day-to-day of preparing and reviewing work steady, even as the volume behind it climbs.

A useful way to see whether workpapers scale is to look at them the way you’d look at any repeatable operation, like a factory: what goes in, what happens to it, and what comes out. When those three stages are consistent, a growing firm can take on more without the work of managing it growing at the same rate.

Inputs: the data lands in the same place every time

Client data comes from everywhere — different ledgers, different accounting systems, different industries, different formats. Each piece of software exports its reports a little differently, and that variety is a natural part of the job. But it doesn’t mean your workpapers need to look different every time.

A scalable system takes those varied inputs and translates them into the same structure in your workpapers, every time. The source can differ; the destination stays the same. That gives your team a clean, familiar starting point on every job. When a preparer opens a new client, they aren’t spending their first hour getting oriented — they already know where everything sits. That’s time handed back to the work that actually needs their attention.

Process: a consistent way of working

In a scalable set-up, the steps to prepare a workpaper are agreed and shared across your firm. What needs to happen for a bank account, a GST account, or a wages account is broadly the same each time.

Every job still needs professional judgement — that part never goes away. This is about the scaffolding around the judgement: where to add evidence, where to find it, where the review points sit. You shouldn’t open two GST reconciliations and find them laid out completely differently. When the structure holds, your team can move between clients and pick up each other’s jobs without relearning how a particular file was built.

Outputs: consistent, trusted work

The final piece is what comes out. When work is prepared to a shared standard and the same checks are reliably done, review becomes quicker and more confident. A reviewer knows exactly where to find the evidence, can see the steps that were followed, and knows where the figures sit.

How Cimplico Workpapers is built around this

We designed Cimplico Workpapers around the principle of standardisation for scalability. Here’s what that looks like:

  • Data lands in a consistent structure. Cimplico Workpapers integrates directly with Xero to bring in the trial balance, and data from other systems can be imported manually. Either way, the leadsheet — the trial balance, BAS leadsheet, FBT leadsheet, ITR leadsheet — looks the same every time, with the same headings and columns. However the data arrives, the workpaper looks familiar.
  • Procedures and Checklists. The steps each job needs, and the tasks and checks for each type of account, are populated from your firm’s templates and built into the workpaper. Your team can see exactly what’s required for every job, nothing gets missed, and reviewers can see what’s been confirmed.
  • Calculations. We have more than 100 built-in calculations — company tax reconciliations, hire purchase schedules, GST reconciliations, and more. These are the workings that usually look completely different from one team member, team, or office to the next. We’ve built structure around them so they always look the same; the only thing that changes is your client’s data.
  • A Learning Centre that helps new people find their feet. As you bring in new team members, point them to our Learning Centre to complete their training. Everyone learns the same way of working, and you’re not spending your own time and resources building internal training from scratch.

None of this does the work for you, and none of it replaces the judgement a good accountant brings. It takes care of the repetitive scaffolding, so more of the day can go to the clients and the thinking.

The takeaway

Scalable workpapers come down to consistency at three points: data that lands in the same place, a shared way of preparing the work, and outputs your team can trust. We’ve built Cimplico Workpapers around the principle of standardisation, because standardisation is what helps a firm scale.
